Privacy Policy
What this website collects, why, and how to get it removed. Written to be read, not to be skimmed past.

The short version
- The only personal information we collect on this website is what you type into the migration request form.
- We use it to reply to you about moving your league. That is all.
- We do not sell it, and we do not add you to a marketing list.
- This website runs no analytics, no advertising trackers, and no third-party cookies.
- Email support@dugouthq.com any time and we will delete everything we hold about you.
Who we are
DugoutHQ operates this website (dugouthq.com) and the DugoutHQ platform for baseball and softball leagues, tournaments, and umpire crews. For anything in this policy, contact us at support@dugouthq.com.
This policy covers this marketing website only. The DugoutHQ application, your league's site, and the player portal are separate services with their own terms, which you agree to when you create an account.
What we collect
If you submit the migration request form on our LeagueLineup page or on /switch, we receive what you typed:
- Your name and email address
- Your league or organization name
- Your current website address, if you provide one
- Your sport and approximate number of teams, if you provide them
- Anything you write in the notes field
- Which page the request came from
Our server also briefly records the IP address a submission came from, purely to stop the form being flooded with automated spam. It is held in memory, is not written to our database alongside your request, and is discarded shortly afterwards.
If you do not use the form, we do not collect any personal information about you through this website.
Why we collect it, and our legal basis
We use it for one purpose: to reply to you about moving your league to DugoutHQ, and to answer follow-up questions. We do not use it for marketing campaigns, we do not add you to a newsletter, and we do not profile you.
Where the UK or EU GDPR applies, our lawful basis is legitimate interests — you asked us to get in touch about a service, and replying is what you would reasonably expect. Where Canadian privacy law (PIPEDA) applies, submitting the form is your implied consent for us to contact you about that request.
Who we share it with
We do not sell your information, and we do not share it with advertisers or data brokers.
Your submission is stored in our own database on infrastructure we operate, and a notification is sent to our support inbox. The only third parties involved are the providers who host that infrastructure and deliver that email, acting on our instructions. We may also disclose information where the law requires it.
How long we keep it
We keep migration requests for as long as we are actively working with you, and for up to 24 months after our last contact — a season planning cycle is long, and leagues that ask in August often come back in February. After that we delete them.
You can ask us to delete yours sooner at any time. See below.
Cookies and tracking
This website sets no cookies and runs no analytics or advertising trackers. There is nothing here measuring your behaviour.
The one thing we store in your browser is a single flag remembering that you dismissed the announcement banner at the top of the page, so it stays dismissed. It lives in your browser's local storage, never reaches our servers, and clearing your browser data removes it.
If we add analytics later, we will update this page and the date at the top before doing so.
Your rights
You can ask us to:
- Tell you what information we hold about you
- Send you a copy of it
- Correct anything that is wrong
- Delete it
- Stop using it
Email support@dugouthq.com and we will action it. There is no charge and you do not need to give a reason.
If you are in Canada and you are not happy with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada. In the UK or EU, you can complain to your national data protection authority.
Children
This website is aimed at league organizers and other adults running baseball and softball programs. We do not knowingly collect information about children through it. If you believe a child has submitted the form, email us and we will remove it.
Changes to this policy
If we change what we collect or what we do with it, we will update this page and change the “last updated” date at the top.
