Terms of Service

DugoutHQ provides:

• The convenor dashboard for running leagues, tournaments and series: schedules, teams, rosters, scores, standings and brackets
• Public event pages, league websites and the player portal
• Online registration for teams and players, with optional card payments
• Tools for umpire crews
• Free tools such as the bracket generator and printable templates
• The DugoutHQ connector for ChatGPT and Claude

We may add, change or remove features. Most of the Services are free to use.

• Give accurate information, keep it up to date, and keep your password secure.
• You must be at least 13 years old (16 in the European Economic Area) to create an account. Leagues that register minors are responsible for having a parent or guardian’s consent.
• You are responsible for everything done with your account, including by apps you connect to it. Tell us at once if you think someone else is using it.
• You can close your account at any time by emailing hello@dugouthq.com. We may suspend or close accounts that break these Terms.

You keep ownership of what you put into DugoutHQ: league details, schedules, teams, rosters, scores, photos and posts ("your content"). You give us a worldwide, non-exclusive, royalty-free licence to host, copy, display and process your content to run the Services, including publishing what you choose to make public on event pages and league websites.

You confirm you have the right to upload your content, including players’ names and details, and that you will use other people’s information only to run your league. Your content must not break the law, infringe anyone’s rights, or be defamatory, harassing, obscene, spam or malicious. We may remove content that does.

Leagues set their own registration prices and policies, and are responsible for them, including refunds to their players and teams. When a league collects registration fees by card, payments are processed by Stripe, and DugoutHQ charges the league a fee of 5% of each card registration. Registrations paid by e-transfer or cash carry no DugoutHQ fee.

Prices for any paid DugoutHQ features are shown before you pay, in Canadian dollars unless stated otherwise. Fees already paid to DugoutHQ are not refundable unless the law requires it or we say so in writing. You are responsible for taxes that apply to you; where we must collect sales tax, we do.

If you connect DugoutHQ to an AI assistant such as ChatGPT (OpenAI) or Claude (Anthropic), the assistant can read and update the leagues you manage, within the same permissions you have in the dashboard. Actions it takes through the connector, such as reporting a score, are treated as yours. Check what the assistant proposes before you approve it.

The assistant is a third-party service under its own terms and privacy policy, and we are not responsible for what it says or does. You can disconnect it at any time. How the connector works.

Do not:

• Break the law or help anyone else break it
• Try to get into accounts, leagues or systems you are not allowed to
• Interfere with or overload the Services, or spread malware
• Scrape or harvest data, or use bots, except through the features we offer for it (such as the connector)
• Harass, threaten or abuse other people
• Collect people’s personal information without their consent

The Services and everything in them other than your content belong to us and are protected by intellectual property laws. You may use them to run your league or for your own personal use. Do not copy, modify, resell or reverse engineer them, or use the DugoutHQ name and logo without our written permission.

The Services link to and work with services we do not control, such as Stripe, email providers and AI assistants. Their terms and privacy policies apply to your use of them, and we are not responsible for them.

The Services are provided "as is" and "as available", without warranties of any kind. We work to keep them running and accurate, but we do not promise they will be uninterrupted, error-free or secure, or that schedules, standings or other results will always be correct. Keep your own copies of anything important. Some places do not allow these exclusions, so they may not all apply to you.

To the fullest extent the law allows, DugoutHQ is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue or data, arising from your use of the Services. Our total liability for any claim is limited to the greater of the amount you paid DugoutHQ in the 12 months before the claim and $100 CAD.

You agree to cover our losses and costs, including reasonable legal fees, from claims by others that arise from your content, your league’s use of the Services, or your breach of these Terms.

You can stop using the Services at any time. We may suspend or end your access if you break these Terms or if we stop offering the Services. Sections that by their nature should continue (content licence for what is already published, our property, disclaimers, liability, indemnity and governing law) continue after that.

We may update these Terms. We will post the new version here and change the date at the top, and for significant changes we will also email account holders. Using the Services after a change means you accept it.

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. We will try to resolve any dispute with you informally first. If you are a consumer in another country, nothing here takes away rights your local law gives you.
